We are looking for two Receptionist colleagues to join our new office in the heart of Budapest.

Your challenges

As a Receptionist, you will be the first point of contact for our company and your duties include offering administrative support across the organization.
You will welcome guests and greet people who visit the business, coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

You will be working in a six hours per day shift starting in the morning or noon, ensuring a smooth delivery of tasks to your peer.
Your primary tasks will involve:
• Taking ownership of the internal and external visitor experience, to ensure all interactions leave the customer with a positive experience.
• Answering, screening and forwarding incoming phone calls.
• Ensuring reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
• Providing basic and accurate information in-person and via phone/email.
• Receiving, sorting and distributing daily mail/deliveries.
• Maintaining office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
• Receipt of incoming mail and deliveries, registration in internal system and distribution to final recipient; preparation of outgoing mail.
• Order front office supplies and keep inventory of stock?
• Arranging travel and accommodations.
• Providing timely, accurate & personalized response to meetings and events enquiries.
• Operating standard office equipment on a regular basis, including copy machine, and computer.
• Support the car fleet management, including the car park management
• Communication with the Landlord and forward the technical requests and tasks to the local facility team of the Landlord
• Follow up on facility services in the office, communication with the partners
Your qualifications:
As a person, you are outgoing with a dynamic personality and you possess the ability to work independently. You have a strong customer mindset and thanks to your excellent interpersonal skills you are good at communicating with people.
Moreover, we expect you to:
• Have previous experience as a Receptionist, Front Office Representative or similar role in an office environment
• Be proficient in Microsoft Office
• Have hands-on experience with office equipment (e.g. fax machines and printers)
• Have excellent people skills and ability to interact with a wide range of client staff and demands
• Be fluent in both Hungarian and English
• Be able to be resourceful and proactive when issues arise
• Have excellent organizational skills
• Have a strong customer service orientation
